Subprocessors
This page lists the outside companies that process personal data when you use WorkNivo: what each one does, what data it receives, where it processes it and on what legal basis data leaves the EU.
It is Annex 3 of the Data Processing Agreement. For how WorkNivo itself uses personal data, see the Privacy Policy.
Key things to know
- Three providers handle the data inside your Workspace: Supabase stores it in the EU (Ireland), Netlify runs the web application in the US, and Anthropic reads your Uploaded Documents, with processing that can take place outside the EU.
- Every Uploaded Document is sent in full to Anthropic. If WorkNivo's account is under Anthropic's Commercial Terms, as is being confirmed, Anthropic may not train models on that content; Anthropic's published pages say it keeps API data for up to 30 days, or longer if flagged for a policy check or required by law.
- Resend and Cloudflare handle WorkNivo's own email and only see Workspace data if someone writes it into a message.
- Not every company we use is a Subprocessor: Google is an independent controller when you choose Google sign-in.
- Stripe is not used. Payments are not live, and no payment data is processed today.
- We will tell Workspace Owners before adding or replacing a Subprocessor, and you can object under the DPA.

1How this list works#
A Subprocessor is a company WorkNivo engages to process Personal Data in your Workspace on your behalf. Some of the providers below also act for WorkNivo's own purposes, such as running sign-in accounts or sending internal notices; for that processing they are WorkNivo's processors. The “Role” column says which applies.
The list is based on what the code and infrastructure actually use, checked on 2026-10-28. It does not rely on older policy text. Each provider's terms are the provider's own published standard terms; links go to the provider's pages. [To be confirmed: whether the vendor contracts are held by the operator or by the founder personally]
2Current subprocessors#
| Provider | Purpose | Location | Role |
|---|---|---|---|
| Supabase, Inc. | Database, sign-in, file storage, document-processing function | EU (Ireland) for stored data; some processing elsewhere | Subprocessor; also WorkNivo's processor for account data |
| Netlify, Inc. | Website and web application hosting; early-access form | United States (Ohio); global network for static files | Subprocessor; also WorkNivo's processor |
| Anthropic | AI Provider: reads Uploaded Documents; answers the website assistant | Any geography for processing; United States for stored data | Subprocessor; also WorkNivo's processor for the website assistant |
| Resend, Inc. | Sends feedback, pilot-request and data-rights request notices to WorkNivo's support inbox | United States (primary processing) | WorkNivo's processor; Subprocessor only for Workspace data written into a message |
| Cloudflare, Inc. | Domain name service; forwards email sent to @worknivo.app | Global | WorkNivo's processor for email; Subprocessor only for Workspace data in an email |
2.1Supabase#
- What it does
- Hosts WorkNivo's database, user sign-in, private file storage for Uploaded Documents, live job status, and the server function that sends documents to the AI Provider.
- Data
- All Customer Content and Account Data; Usage Data; a pseudonymous hash used to rate-limit the website assistant.
- Where
- Database, sign-in, file storage and backups: eu-west-1 (Ireland). Server functions run in the region closest to the caller, so document processing is likely to run outside the EU. Logs are processed outside the region and stored in the EU, according to Supabase. Supabase support staff may access data from other countries when handling a request. [To be confirmed: processing regions for Netlify functions and the document-processing Edge Function]
- Transfers
- Standard contractual clauses (Modules 2 and 3) in the Supabase DPA. No Data Privacy Framework listing found.
- Terms and security
- Supabase DPA · Supabase subprocessors · Data residency and transfers FAQ · Supabase security. [To be confirmed: confirmation that Supabase's data processing terms are in force for WorkNivo's account]
2.2Netlify#
- What it does
- Hosts worknivo.app and runs the web application server: page rendering, form actions and the website assistant's connection to the AI Provider. Stores early-access form submissions.
- Data
- All web requests, including sign-in cookies and the Workspace data shown in the app; website-assistant messages in transit; early-access submissions; request logs. Uploaded Documents go directly to Supabase and do not pass through Netlify.
- Where
- Server functions and stored data: us-east-2 (Ohio, United States). Static files: global content delivery network. [To be confirmed: processing regions for Netlify functions and the document-processing Edge Function]
- Transfers
- EU-U.S. Data Privacy Framework, according to Netlify's privacy statement; standard contractual clauses in Netlify's DPA for transfers it does not cover. [To be confirmed: Netlify's Data Privacy Framework status is active and its DPA applies to WorkNivo's plan]
- Terms and security
- Netlify DPA · Netlify privacy statement · Netlify Trust Center (subprocessors and security).
2.3Anthropic (AI Provider)#
- What it does
- Reads each Uploaded Document and returns structured order information. Also generates the website assistant's answers. See the Privacy Policy and the AI Use & Responsibility Policy.
- Contracting entity
- Anthropic Ireland, Limited for customers in the EEA, Switzerland and the UK, under Anthropic's terms. [To be confirmed: Anthropic account is under the Commercial Terms, contracting entity, zero-data-retention status and fallback model]
- Data
- The entire Uploaded Document with fixed instructions. Your customer, product and price records, the user's identity and the Workspace name are not sent. For the website assistant: up to the last 10 messages of the conversation.
- Where
- Processing may run in any geography (WorkNivo does not set a region); stored data is in the United States. Anthropic offers no EU-only option.
- Retention
- According to Anthropic's published pages, API inputs and outputs are kept for up to 30 days. If flagged under Anthropic's Usage Policy, inputs and outputs can be kept for up to 2 years and safety classification scores for up to 7 years, or longer where the law requires.
- Training
- Anthropic's Commercial Terms state that Anthropic may not train models on customer content from its services. This applies to WorkNivo's data only if WorkNivo's account is under those terms, which is being confirmed. Whether a zero-data-retention arrangement is in place is also being confirmed (assumed not). [To be confirmed: Anthropic account is under the Commercial Terms, contracting entity, zero-data-retention status and fallback model]
- Transfers
- Standard contractual clauses (Modules 2 and 3) in Anthropic's Data Processing Addendum, which is part of its Commercial Terms. No Data Privacy Framework listing found.
- Terms and security
- Commercial Terms · Data Processing Addendum · Data retention · Trust Center (subprocessors and security).
2.4Resend#
- What it does
- Sends emails from feedback@worknivo.app to WorkNivo's support inbox when a user sends feedback, a Workspace Owner requests a pilot, or someone sends a data-rights request from Settings. It does not send emails to customers.
- Data
- The feedback or request message, the sender's email address (and, for data-rights requests, their role and the type of request), the Workspace name and, for feedback, if included, the page address and browser details. Open and click tracking are off.
- Where
- Sending domain configured in eu-west-1 (Ireland); Resend's DPA states that primary processing is in the United States.
- Transfers
- Standard contractual clauses and the EU-U.S. Data Privacy Framework, according to Resend's DPA. [To be confirmed: Resend's Data Privacy Framework status is active]
- Terms and security
- Resend DPA · Resend subprocessors · Resend security.
Account emails such as sign-up confirmation and password reset are sent by Supabase's sign-in service. [To be confirmed: whether Supabase sends account emails through its own mailer or through Resend]
2.5Cloudflare#
- What it does
- Runs the domain name service for worknivo.app and forwards email sent to @worknivo.app addresses, such as support@worknivo.app, to WorkNivo's inbox. It does not carry traffic to the website.
- Data
- Emails in transit and their sender and recipient details; domain name lookups.
- Where
- Global network.
- Transfers
- EU-U.S. Data Privacy Framework first, standard contractual clauses otherwise, according to Cloudflare's DPA. [To be confirmed: confirmation that Cloudflare's data processing terms are in force for WorkNivo's account]
- Terms and security
- Cloudflare Customer DPA · Cloudflare subprocessors · Cloudflare Trust Hub.
Cloudflare also protects Supabase's own service and may set a short-lived security cookie when your browser connects to Supabase. That is Supabase's arrangement with Cloudflare, covered by Supabase's subprocessor list.
3Other recipients that are not Subprocessors#
- Google (Google sign-in). If you choose “Continue with Google”, Google confirms your identity and returns your name, email address, profile picture and a Google account identifier to WorkNivo's sign-in service. Google acts as an independent controller of your Google account, under Google's Privacy Policy. It receives no Workspace data. Fonts are served by WorkNivo itself, so browsing the site sends nothing to Google. See also the Privacy Policy.
- WorkNivo's support inbox provider. Emails forwarded by Cloudflare, including support requests, feedback and pilot notices, are received in a mailbox hosted by another provider. If that provider holds Workspace data on WorkNivo's behalf, it will be added to the list above. [To be confirmed: name, location and terms of the support mailbox provider]
- Stripe (planned, not used). Payments are not live and no data is sent to Stripe. If paid plans open with Stripe as the payment provider, this page will be updated and the change notified before it takes effect.
- Providers that receive no personal data. WorkNivo's source code is hosted on GitHub, and a spreadsheet library is downloaded when the app is built. Neither receives customer or user data.
4Changes and notifications#
- Before a new or replacement Subprocessor processes Workspace data, WorkNivo will notify Workspace Owners at least [To be confirmed: advance notice period for a new or replaced Subprocessor] in advance by [Planned: in-app notice to Workspace Owners, and email once a customer email channel exists].
- At the same time this page is updated with the change, the date it takes effect and a new version number, and the change is recorded in the history below.
- A Customer may object on reasonable data protection grounds within [To be confirmed: period in which the Customer may object], as set out in the DPA.
- If a provider must be replaced urgently to keep the Services secure or available, WorkNivo will notify Workspace Owners as soon as possible after the change.
- Changes that do not add a provider or change what it receives (for example a provider's new address or an updated link) are recorded in the history without advance notice.
